[edit] Manage Notifications Overview

The current feature on Notifications enables to receive notifications by email through the mechanism of the Message Center. This feature also provides the ability for the users to create notifications for

  1. Events on types of objects in general
  2. Events on specific instances of an object

Project.net improves collaboration between project team members with its automated events and notification feature. It allows a team member to select a member within the team or any external email address to receive a notification. The team member can create customized email notifications as well as set the delivery schedule.

Automated email notifications are sent to the subscribed members whenever an event is called upon. Team members can subscribe to an automated email notifications for the following types of events or objects within a project:

Projects

  • Participant Deleted
  • Project Edited
  • Project Deleted
  • Participant Invited
  • Member deleted

News

  • News Item Added
  • News Item Modified
  • News Item Deleted

Discussion group

  • Create Discussion Group
  • Modify Discussion Group
  • Delete Discussion Group

Discussion post

  • Create Post
  • Modify Post
  • Remove Post
  • Create Reply

Workplan

  • Task Assignment
  • Create Task
  • Modify Task
  • Delete Task
  • Change Task Status

Form Type

  • Create Form
  • Modify Form

Personal module does not allow creation of any New Notifications.

[edit] To Create a New Notification

To create a notification, the user selects an object type in general and selects "Notify" from the sidebar.

To create a notification for an instance of an object, the user first selects the instance of an object and chooses the "Notify" option.

1. Go to the BUSINESS or PROJECT tab.

2. From the Business or Project area, select a business or project from the list.

3. Click on the [Setup] options under the top tree menu.

4. Click on the [Notifications] link under the user’s personal settings for the project. The MANAGE NOTIFICATIONS page with the list of Notifications already created are listed.

5. Click on the [New Notification] option under Toolbox.

6. In the NEW NOTIFICATION page, the following fields needs to be provided to create a new notification:

Status Check the enabled or disabled status of the notification.

Name of the Notification Enter the name of the notification.

Description Enter the description for the notification.

Items and Actions to be notified about Select the required item type for which the notifications are to be created.

Based on the selection of the Item type, the options for which notifications are to be received are listed. Select the activity within the Item type for which the Notifications are to be made available.

'Delivery Method Select the method of Delivery from the options available in the drop down.

Delivery Schedule Select the required Delivery Schedule from the drop down options.

Select the additional Team members to send this notification to From the list of all the team members in the project, select the Team members who needs to be notified through this notification.

External Email Addresses Enter external or additional email addresses if these addresses are to be notified through these notifications.

Message Enter the message that needs to be sent through the notification.

Click on Submit to save the notification.

The Notification is now saved and listed in the MANAGE NOTIFICATIONS page. The selected participants are notified via email.

Users can also:

  • Create a notification to a specific instance of an object type by going to that module and selecting the instance of an object and then selecting "Notify".
  • Assign a notification to other team members on a project or business, and include a message. (Security on this can work as it is now.
  • User can create a new notification all on one page rather than two pages.

[edit] To Edit a Notification

1. Go to the BUSINESS or PROJECT tab.

2. From the Business or Project area, select a business or project from the list.

3. Click on the [Setup] options under the top tree menu.

4. Click on the [Notifications] link under the user’s personal settings for the project. The MANAGE NOTIFICATIONS page with the list of notifications already created are listed.

5. Select a notification that needs to be modified and click on the Edit Notification option under Toolbox.

6. In the EDIT NOTIFICATION page, make the required modifications to the properties of the notification and click on [Finish] to save the changes. The modified notification is now listed in the NOTIFICATION page.

Users can also:

  • On Edit Notification page, user can edit the additional field of "Actions to be Notified About."
  • User has the option to edit delivery method (once Message Center is implemented)
  • User has the option to fully edit, and disable OR delete any of their own notifications.

[edit] To Delete a Notification

1. Go to the BUSINESS or PROJECT tab.

2. From the Business or Project area, select a business or project from the list.

3. Click on the [Setup] options under the top tree menu.

4. Click on the [Notifications] link under the user’s personal settings for the project. The MANAGE NOTIFICATIONS page with the list of notifications already created are listed.

5. Select a Notification that needs to be removed and click on the [Delete Notification] option under Toolbox.

6. In the confirmation popup on "Are you sure to delete this notification?" click on "[OK]". The selected notification is now removed and no more available on the list in this page.

Note:

On page, Notifications, user can see their notifications for "System" generated messages (such as comments to your blog)

  • User has the option to disable BUT NOT delete any System notifications
  • User has the option to fully edit, and disable OR delete any of their own notifications.

[edit] Other features of Notifications

  1. The method of receiving a notification is defaulted to message center only (once implemented), but the user can change to email or choose both
  2. User can manage (i.e., new, edit, view) their notifications to a specific business or project by going to Setup>Notifications in that business or project.
  3. On page, Manage Notifications, user can create a new notification or edit an existing notification via the sidebar menu.
  4. On page, Manage Notifications, user can see a list of their notifications.
  5. On page, Manage Notifications, user can view properties of an existing notification by selecting the name of the notification.
  6. On page, Manage Notifications, user can see their notifications and sort by added columns: Item Name, Item Type, Action, and Created By

[edit] Toolbox

  • Blogit - Selecting this allows the user to create a blog entry on Notification.
  • New Notification - Selecting this allows the user to create a new notification.
  • Edit Notification - Selecting this allows the user to edit a notification already created.
  • Delete Notification - Choosing this option alerts a popup for the deletion of the selected notification.
